Scope
Emerald Mariner Housekeeping Kabushiki Kaisha cleans renovated and newly finished interiors in Tokyo. Most of our work is arranged by contractors, property managers and owners, and it happens on sites where other people's details, building plans and access arrangements pass through our hands. This policy covers how we treat that information on this website and on site, in line with Japan's Act on the Protection of Personal Information (APPI).
What we collect
- Enquiry details: Name, company, email address, phone number if given, and what you tell us about the job — floor area, handover date, trades still working.
- Site information: The site address, access and parking instructions, lockbox or security codes, and the name of the site manager we report to.
- Job records: The stage-by-stage checklist for the clean, notes on protective film or residues removed, and photographs of finished areas taken at walk-through.
- Billing: Invoice details for the company or person who pays for the work.
Why we collect it
We use enquiry details to price the job and fix a date that fits the build schedule. Site information lets the team get in, work safely and leave the site secure. The checklist and walk-through photographs are the record we hand over with the finished space, and the evidence we rely on if a question about a surface comes up after handover. We do not use any of this for marketing and we do not sell it.
Photographs on site
Walk-through photographs show finished surfaces, fittings and glazing. We avoid photographing people, vehicle plates, drawings pinned to walls and anything belonging to the occupant. Photographs used on this website are taken only with the owner's permission and never show the address. For pre-photography visits, we do not keep copies of the photographer's images.
Who we share it with
- The client and site manager: Checklists and photographs go to the person who commissioned the clean and to anyone they tell us to copy.
- Subcontracted crew: Where a job needs extra hands, the crew receives only the site address, access details and checklist for that day.
- Service providers: Our email, file storage and website hosts, under confidentiality terms. If their servers are outside Japan, we use only providers with safeguards equivalent to the APPI.
- As required by law: Where Japanese law obliges us to disclose information.
Keeping site details safe
Access codes and key-safe numbers are sent to the crew lead's company phone on the morning of the job and are not written on paper checklists left on site. Keys borrowed from a site office are signed out and back in the same day. Job folders are only visible to our coordinators and the crew on that job, and old crew members lose access when they stop working with us.
How long we keep it
Security and lockbox codes are deleted from our records on the day the job is signed off. Enquiries that do not become jobs are deleted after six months. Job records and walk-through photographs are kept for three years after handover, which covers the period in which defects are usually raised. Billing records are kept as long as tax law requires.
Your rights

Updates
We will post any change to this policy on this page with a new date. Clients with jobs in progress will be told directly if a change affects them.
